Creating Receipts

PatronSend offers multiple ways to create tax receipts.

Automatic Receipt Generation

When donations sync from Spektrix, receipts are automatically created based on your fund rules and settings.

The automatic flow:

  1. Donation syncs from Spektrix
  2. Fund rules are applied
  3. Draft receipt is created
  4. Receipt is auto-approved (if enabled) or queued for manual review
  5. Receipt is issued and the final PDF is generated
  6. Email is auto-sent (if enabled) or waiting for sending
  7. Email is sent to donor

Manual Receipt Creation

From Spektrix Order ID

If you have a specific Spektrix order that needs a receipt:

  1. Go to Documents> Receipts > Create Receipt
  2. Select the Spektrix Order tab
  3. Enter the Order ID
  4. Review the pre-populated data
  5. Click Generate Receipt

PatronSend will fetch the order details from Spektrix and create the receipt.

Manually created receipts from Spektrix orders still have fund rules and organizational defaults applied. This ensures consistent processing regardless of how the receipt was created.

Manual Entry

For donations not in Spektrix:

  1. Go to Receipts > Create Receipt
  2. Select the Manual Entry tab
  3. Search for an existing donor or create a new one
  4. Enter the gift details:
    • Amount
    • Date
    • Fund/Description
    • Gift type (cash or non-cash)
  5. Review the preview
  6. Click Generate Receipt

Receipt Preview

Before generating, you'll see a preview showing:

  • Donor information
  • Gift details
  • Calculated eligible amount
  • Any warnings or validation issues

Receipt Status

Duplicate Detection

PatronSend prevents duplicate receipts:

  • If a receipt already exists for a Spektrix order, you'll be shown a link to the existing receipt
  • Manual entries are checked against existing receipts by donor + amount + date
